Club Terms of Use
About these Terms
These Club Terms of Use govern your use of DiploLife, including its website and member services. The Club provides a private service for the diplomatic community. Membership does not confer diplomatic status, accreditation or official authority. English and German documents describe the same version of these Terms; neither language choice reduces your mandatory rights.
Eligibility and your account
You must be at least 18 and eligible for Club membership. Admission is subject to the applicable invitation and verification process. Give accurate information, keep your account credentials private and tell the Club if you suspect unauthorised use. Do not share, transfer or impersonate an account. Your use must comply with applicable law and any duties you owe to your organisation.
Acceptable use
Treat others respectfully. Do not harass, threaten, discriminate, impersonate another person, distribute unlawful material, spam members or misuse contact details. Do not post classified information, confidential official material or information you are not entitled to share. Do not attempt to interfere with the service, access another person’s records without permission or evade membership restrictions.
Your content and sharing
You retain rights in content you submit. You grant the Club only the permission needed to store, display and process that content to provide the service according to your selected sharing scope. This is not a transfer of ownership. You are responsible for having the necessary rights and permissions, including for information about other people. A recipient may retain information already received; changing a sharing setting cannot recall copies outside the service. The Club may restrict or remove unlawful or harmful content and may need to retain information as described in the Privacy Notice.
Communications and service availability
The service provides member records, contacts, events and invitations, and personal flight records with calendar entries. The features available to you depend on membership eligibility and the options shown in the app. In-app invitations and responses are not a guarantee that a recipient has read a message or will attend. The Club may send communications needed for your account and service; this does not give permission for optional marketing or device notifications. Private messaging is not available today and no end-to-end encryption is active. Future capabilities are not included until made available. The service may change or be interrupted for maintenance or other operational reasons; continuous availability is not guaranteed.
Storage and privacy
Your account, profile, profile photo and records are stored on DiploLife servers, not only on your device. Shared content is available according to the service’s sharing rules. Do not use the service as a repository for classified material. The separate Privacy Notice explains processing, access, retention and your choices. Accepting these Terms acknowledges that notice; it is not blanket consent to marketing, personalised advertising, sensitive-data processing or linking an external account.
Events and invitations
Members organising events are responsible for accurate event details, lawful arrangements and communicating changes or cancellation. Invite only appropriate recipients and do not use invitations for unsolicited mass promotion. Participation is voluntary and subject to any separately disclosed organiser conditions. The Club does not guarantee attendance, venues, travel arrangements or third-party performance. Personal flight entries are private records, not bookings, live flight information or Club events; check itinerary details with your airline.
External providers and AI
Links and third-party services are subject to their own terms and privacy practices. Listing a provider is not a guarantee or endorsement of their service. Linking your own external profile is a separate, deliberate action and is available only for configured services; registration does not authorise it. Where a platform does not permit display within the app, a profile card may open the external site instead. AI assistance is not currently available. If it becomes available, its conditions and data disclosures must be shown before use; generated answers may be inaccurate and are not a substitute for independent professional judgement. Do not rely on unavailable features.
Advertising
The app may display clearly labelled advertisements when advertising is enabled and an eligible campaign is active. Offers and desk-window advertisements may be limited to your posting or selected temporary-stay location. No behavioural advertising profile is created. Measurement consists of campaign-level event totals, not unique people or purchases, and no member-linked advertising history; ordinary hosting security logs are separate. Details are in the Privacy Notice. Accepting these Terms does not provide marketing consent or permission for personal advertising measurement. Opening an advertiser’s link takes you to a service governed by its own terms.
Suspension and termination
The Club may refuse admission, restrict content, suspend access or end membership for ineligibility, serious or repeated misuse, legal obligations or necessary protection of members and the service. Measures should be proportionate to the circumstances. Where reasonably possible and legally permitted, the Club will explain the reason and allow you to raise an objection; urgent protective action may precede notice. You can raise a membership concern with the Club through the available account support channels, request account deletion in My Account and stop using the service. Suspension or termination does not remove statutory rights or determine whether records must be deleted; the Privacy Notice applies.
Responsibility and liability
You are responsible for your decisions and for checking information before relying on it. To the extent permitted by applicable law, the Club is not responsible for third-party content, arrangements or losses that were not reasonably foreseeable from its breach. Nothing in these Terms excludes or limits liability that cannot lawfully be limited, including liability for intentional misconduct, gross negligence, or death or personal injury caused by negligence, or limits mandatory consumer remedies. Liability for breach of essential contractual duties remains subject to applicable law; no blanket exclusion applies.
Changes, questions and disputes
The version displayed identifies the current Terms. Your recorded acceptance keeps its original version and time; reading another language or an updated document does not silently replace that acceptance. The Club will communicate material changes as required by law and obtain further agreement where legally necessary through an explicit process, not an automatic checkbox. Raise a concern with the Club first where practical; this does not prevent you from seeking legal remedies. Applicable law determines governing law and jurisdiction. These Terms impose no compulsory arbitration, exclusive foreign court or waiver of mandatory consumer protection, statutory remedies or the right to complain to a competent authority.
